DentShieldAI LLC ("DentShieldAI," "we," "us," or "our") is a Florida limited liability company operating at hello@dentshieldai.com. We provide AI-powered embezzlement detection software for dental practices.

2. Information We Collect

We collect the following categories of information:

• Account information: Practice name, owner/doctor name, email address, and phone number provided during registration.
• Financial transaction data: Ledger records, payment entries, and transaction history from your practice management software (Dentrix, Eaglesoft, Open Dental, or similar), provided either via Sikka API connection or direct CSV upload.
• Payment information: Billing details processed securely by Stripe. DentShieldAI does not store credit card numbers.
• Usage data: Pages visited, features used, and diagnostic activity within our platform, collected to improve the service.
• Communications: Emails or messages you send to us.

3. How We Use Your Information

We use the information we collect to:

• Run fraud pattern analysis and generate diagnostic reports for your practice
• Send real-time alerts when suspicious patterns are detected
• Process subscription payments through Stripe
• Respond to support inquiries and communicate about your account
• Improve the accuracy of our detection models (using anonymized, aggregated data only)
• Comply with legal obligations

4. How We Handle Practice Financial Data

Transaction data uploaded to DentShieldAI is used solely to perform fraud analysis for your practice. We do not share, sell, or use your transaction data to train models identifiable to your practice. Data processed via CSV upload is analyzed in memory and not retained after analysis is complete. Data accessed via Sikka API is governed by your Sikka agreement in addition to this policy.

5. HIPAA Compliance

DentShieldAI operates in accordance with the Health Insurance Portability and Accountability Act (HIPAA). Dental practices that use our service are required to enter into a Business Associate Agreement (BAA) with DentShieldAI prior to connecting practice data. The BAA governs how we handle any Protected Health Information (PHI) encountered in your financial records.

Our technical safeguards include:

• Encryption in transit via TLS 1.2+
• SHA-256 hashing of all extracted records
• Zero-trust cloud architecture
• Access controls limiting who can view practice data

6. Third-Party Service Providers

We work with trusted third parties to operate our platform:

• Stripe — Payment processing. Subject to Stripe's Privacy Policy.
• Sikka Software — Practice management software data connection. Subject to Sikka's privacy terms.
• Vercel — Cloud hosting and infrastructure.
• Clerk — User authentication and account management.

We do not sell your personal information to any third party.

7. Data Retention

We retain your account information for as long as your subscription is active and for a reasonable period thereafter for legal and business purposes. Transaction data processed via CSV upload is not retained after analysis. You may request deletion of your account and associated data at any time by emailing hello@dentshieldai.com.

8. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

• Access: Request a copy of the personal data we hold about you.
• Correction: Request that we correct inaccurate information.
• Deletion: Request that we delete your personal data.
• Portability: Request a machine-readable export of your data.
• Opt-out: Opt out of any marketing communications at any time.

9. California Residents (CCPA)

Our marketing website (dentshieldai.com) uses minimal tracking. We may use cookies to remember your preferences and analyze site traffic. We do not use advertising or cross-site tracking cookies. You can disable cookies in your browser settings at any time.

12. Children's Privacy

DentShieldAI is a business-to-business service intended for use by dental professionals. We do not knowingly collect personal information from individuals under the age of 18.
